Information we collect

• Account information. Name, work email address, optional phone number, organization and team membership, role, and an optional profile photo.
• Learning activity. Course progress and completions, assessment and survey responses, certification status, and AI practice activity — recorded so your organization can run and report on its training.
• Content your organization provides. Documents, decks, videos, SCORM packages, and other training material your organization uploads, and the learning content generated from it.
• Technical information. Sign-in and session data (kept in browser storage and cookies), device and browser type, and logs needed to keep the service working and secure.

How we use information

To provide and operate the platform: signing you in, delivering assigned training, generating learning content from your organization's material, powering spoken AI practice, producing the reporting your organization's administrators see, sending service emails (sign-in codes, invitations, assignment notices), and billing based on active learners. We also use technical information to secure, troubleshoot, and improve the service.

AI processing

LearnLoops uses AI services to turn your organization's material into learning content (including music, imagery, and voice) and to hold practice conversations. Material is processed for your organization's use of the service — we do not sell it, and we do not use your organization's private training content to build products for anyone else.

How information is shared

With your organization. If you use LearnLoops through an employer or other organization, its administrators can see your learning records — that is what the product is for.

With service providers. We rely on vendors to run the platform — hosting and content delivery, database and authentication, file storage, email and SMS delivery, and AI model providers for content generation and practice conversations. They process information only to provide their service to us.

We do not sell personal information. We disclose it beyond the above only if required by law or to protect the service and its users.

Data retention

We keep information while your organization's account is active. Suspended or dormant learner accounts keep their records (and are not billed) so history survives seasonal staffing. Organizations can export the content they create, and can request deletion of their data when they leave the service.

Security

We use industry-standard measures to protect information, including encryption in transit, role-based access inside the product, and hosted infrastructure from established providers. No system is perfectly secure; if a breach affecting your personal information occurs, we will notify affected organizations as required by law.

Your choices

You can update your profile in the app, and sign out at any time. For access, correction, export, or deletion requests, contact your organization's administrator (for records your organization controls) or contact us directly. Service emails such as sign-in codes are required to operate the product; they are not marketing.

Children

LearnLoops is a workplace product. It is not directed to children under 16, and we do not knowingly collect personal information from them.

Changes to this policy

If we change this policy, we will update the date at the top of this page. Material changes will be communicated to organization administrators.
